Who we are
Surfcoast Compliance Pty Ltd (ABN 11 673 729 578) is a registered building surveying practice based in Torquay, Victoria. We handle your personal information in line with the Australian Privacy Principles.
What we collect
When you use the quote tool or contact us, we collect your name, email and any details you give us about your project: the type of work, an estimated cost of works, your suburb or postcode, and the property address. If you go ahead, we also collect the documents needed to assess your application, such as title, plans and engineering details, and your builder or owner-builder details.
When you submit the quote form, we also keep a coded version of your internet (IP) address, not the address itself. We use it only to stop the form being used to send large numbers of automatic emails. We only need it for a day, so once it is a day old it is cleared the next time anyone submits the form.
Why we collect it
We use your information to prepare and confirm your quote, to carry out the surveying work, to keep records we are required to keep, and to let you know when a permit or pool barrier inspection is due for renewal. We do not sell your information, and we only use your contact details to help with your job.
How we store it
Your information is stored in a secure cloud database, our customer records (CRM), hosted in Australia. This includes quote submissions even if you do not go ahead, so we can follow up and manage your enquiry. Access is limited to Surfcoast Compliance. We keep records for as long as we are required to, and no longer than we need them.
When you submit the form we usually email you your estimate, and we email your official quote once a surveyor confirms it, from our Microsoft 365 mailbox (info@surfcoastcompliance.com). A copy of each email, with the estimate or quote and the details on it, stays in that mailbox so we can see what we sent you.
Your consent
When you submit the quote form you confirm that you agree to us collecting and storing your details as described in this policy. You can withdraw your consent, or ask us to delete your details, at any time by contacting us, unless we are required by law to keep them.
Who we share it with
To issue a permit we provide the information required to the relevant authority, including the Building and Plumbing Commission and your local council. Microsoft provides our email, so it handles and stores the emails we send you. We do not share your information with anyone else without your consent, unless the law requires it.
